Can you tell how much better your business got in the last 100 days? The last 1,000?
Most owners answer with a feeling. When the numbers live in five apps and a notebook, a feeling is all anyone has. Keep a few of them in one place you own and AI can give you a real answer every Monday.
Ask an owner if the business is better than it was a year ago and you'll usually get a feeling. Busier, maybe. Ask how many quotes they won last spring, or how fast they answered new leads, and you get a shrug. The numbers existed once. Nobody kept them.
The data usually exists. It's spread across a phone, a quoting app, the bank, a spreadsheet and a notebook in the truck. Each one holds a piece, and none of them can compare this month to the same month two years ago.
- 54%
- of Canadian SMEs often or always use data to make decisions, up from 25% in 2021, per BDC
- 47%
- of SMEs with digital data say it's not integrated at all or only partly integrated, per BDC
- 41.7%
- of Canadian businesses planning to use AI name data analytics as a use, the top answer, per Statistics Canada
Having data isn't the same as using it
BDC surveyed 1,500 Canadian owners and decision makers in February 2026. 96% of SMEs now have electronic data, most often on customers and sales. Only 17% say it's fully integrated, meaning it sits in one system where the pieces connect.
It shows up when owners try AI. In the same survey, 94% of SMEs with fully integrated data were satisfied with the return on their AI investment. With partly integrated or unintegrated data, it was 63%. AI can only compare what it can reach.
Pick a few numbers and track them every week
You don't need fifty metrics. For most small service businesses, these six cover it:
- Leads. How many new enquiries came in, and from where.
- Response time. How long until someone answered each one. Speed wins work, which is why we'd quote in an hour.
- Quote win rate. Quotes accepted out of quotes sent.
- Job margin. What each job brought in, minus labour and materials.
- Repeat customers. The share of this month's work from people who've bought before.
- Cash. What's in the bank and what's due out in the next few weeks. A weekly cash forecast handles that one.
Each number should get recorded as a side effect of the work. The lead lands in the system when the call comes in. The quote gets marked won when the customer says yes. If someone has to remember to type it in on Friday, by March they won't.
Keep it in a database you own
The 1,000-day comparison is where rented apps let you down. Switch quoting software and the old quotes stay behind, or come out as a spreadsheet missing half the columns. A dashboard app on top of scattered tools can chart this month. It can't chart what nobody stored. Paper never gets compared to anything.
Put every number in one database in your business's name, and let the apps feed it. You can change apps later and the history stays put. More on why in own your software and data.
What we'd build
- Your phone system, quoting tool, job tracker and accounting software send each lead, quote, job and payment to a database you own.
- Every Monday, AI pulls last week's numbers and compares them to the average over the last 100 days and the last 1,000.
- It writes a one-page report in plain words, for example that win rate is up but replies to Thursday leads got slower.
- Each claim links to the leads or jobs behind it, so you can check the math yourself.
AI is good at this part. It reads a table and tells you, in sentences, what moved and where to look. You decide what to change.
- Work gets recorded
- One database you own
- AI compares periods
- Monday report
Want to see this mapped to your business?
Start small
Pick three numbers from the list and write down this week's value every Monday. In 100 days you'll have your first real comparison. The 1,000-day view needs almost three years of history, and a week you don't record is a week you can never compare. If old quotes and invoices are sitting in email or a filing cabinet, we can load them in and get some of that history back.
Can't say if this year beat last year?
Bring a list of the apps and spreadsheets your numbers live in to a free 30-minute call. We'll pick the numbers worth tracking and show you how to get them into one place you own.
