Playbook · Small business 3 min read
Once your records are in order, AI can take the invoices and the books too.
Invoices, late payments, receipts and sales tax are the same few steps every month. AI can do the prep. You or your accountant still sign off.
This is how we'd set up invoicing and bookkeeping for a small business. It's a playbook, not a report on a client.
Our inventory playbooks for retail stores, vape shops and daycares were about getting stock out of one person's head and into software. Our post on inventory records was about why those records matter to the CRA, your insurer and a future buyer. Once the data lives somewhere software can reach, invoicing and the books can come off your plate too.
Where the evenings go
Invoicing, chasing payments, filing receipts and getting sales tax ready mostly happen after close, at the kitchen table. CFIB found the smallest firms spent 198 hours per employee on regulatory compliance in 2024. Then there's the money you've earned and haven't collected.
- 735
- hours small businesses spent complying with regulation in 2024, per CFIB
- 7 in 10
- Canadian businesses are affected by late payment, per Atradius
- 25%
- of business-to-business receivables in Canada are overdue on average, per Atradius
Invoices that go out and get paid
When a job is done or an order ships, AI drafts the invoice from what's already in the system. Customer, items, quantities and tax are all there. It goes out the same day, and then AI watches for the payment.
- Sends a friendly reminder before the due date and a firmer one when it's late.
- Matches each payment in your bank feed to the invoice it pays.
- Flags the customer who's paid late three times in a row, so you decide what happens next.
Receipts and bills matched as they arrive
AI reads every supplier bill and receipt, matches it to the order and the delivery, and files it. If a supplier billed for twelve cases and you received ten, you hear about it before you pay.
AI can also check the paperwork the CRA expects. To claim input tax credits on a purchase of $100 to $499.99, the invoice needs the supplier's GST/HST registration number. At $500 or more it also needs your business name, a description and the payment terms. Catching a missing number the day the bill arrives beats finding it at filing time.
Sales tax ready for filing
GST, HST or PST, depending on your province. AI tags each sale and purchase with the right tax and keeps a running total of what you collected and what you can claim back. At the end of each period it puts the numbers together with the documents behind them. Everything stays findable for the six years the CRA requires.
AI prepares. A person files.
We wouldn't let software file a return or move money on its own. AI does the prep. You approve invoices and reminders before they go out, at least until you trust them. Your accountant reviews the books and files. They get matched records with the documents attached, not a shoebox in April.
By the second quarter of 2026, 19.2% of businesses in Canada had used AI in the previous 12 months, and 25.2% plan to use it in the next 12.

Want to see this mapped to your business?
Start small
Start with payment reminders. You already send invoices, and getting paid sooner is easy to measure. Add receipt matching next, then sales tax prep. If your sales and stock still live on paper, sort out the records first.
